RxLogix, Inc. (“RxLogix”) is a global pharmacovigilance software solutions company specializing in innovative software and expert consulting services. Our products and services provide our customers with a sophisticated set of pharmacovigilance tools and solutions to managing PV data.
This Privacy Policy applies to the information we collect about you or we learn about you (“you” or ‘your”) when you use our products, such as the PV Saas Platform (the “Platform”) and integrated software modules, and various services, like our consulting, customer support, technical support, and data management services or from your use of our website(s) including, without limitation, www.rxlogix.com (the “Website”) as described in this Policy. The products and services we offer including offered through demo or proof of concept are collectively referred to as our “Services.” This policy also explains your choices surrounding how we use information about you, including with respect to your rights under applicable privacy laws. We are committed to protect any personal information that you provide when you are consuming the Services or using the Website, or we collect from you when you submit your contact details to receive marketing communications from us, or during or after your working relationship with us. We want our Services to be safe and secure for you. Uniform practices for collecting, using, disclosing, storing, retaining, disposing, accessing, transferring or otherwise processing such information assists RxLogix to process personal information fairly and appropriately, disclosing it, using it and/or transferring it only under appropriate circumstances.

NOTE: RxLogix provides its Services pursuant to a contract with its Customers. Where RxLogix processes personal data pursuant to an agreement with a Customer to provide Services, or requests for a demo by visiting the Website, the Customer controls the information processed by the Services (including information collected about you by RxLogix on behalf of the Customer). While this Privacy Policy describes the personal information we collect related to users of the Platform or Services and Customer-affiliated users of the Services, we are not the controllers of such data. Therefore, you should contact the administrator of the account with which you are affiliated in order to inquire about that organizations privacy rights and practices.
2. The Scope of this Privacy Policy
This Privacy Policy describes RxLogix’s practices for collecting, using, maintaining, protecting, and disclosing (“processing”) your personal data when you use our services (“Services”), such as when you:
- Visit the Website
- Access and use the Platform (i.e., our online platform through which we provide our pharmacovigilance solutions, and customer & technical support) or engage with our Services.
- Subscribe to or engage with our newsletters or other electronic communications.
- Request a demonstration or other information about RxLogix Services.
- Submit personal data through our website or via email, telephone, or other means.
- Engage with our social media accounts or pages.
- Communicate with our service representatives or features (including via chat functions, email, text, or phone).
This Privacy Policy also applies to personal data we collect from third parties (publicly available data) about you.
This Privacy Policy does not apply to:
- Case Management Data: The Services we provide to Customers assist them in pharmacovigilance case management. Customers submit personal data associated with individuals who the subject of a pharmacovigilance investigation or research, or who are mentioned in documents or data sets provided by our Customers for processing (“Case Management Data”). This information often includes special categories of sensitive information related to individuals’ health. This Privacy Policy does not address the processing of Case Management Data. We process Case Management Data at the direction of our Customers who determine the purposes and means of processing. We do so pursuant to detailed instructions from the Customer about how to process Case Management Data. If you believe that your personal data is or may be contained in Case Management Data, please contact the organization who controls such Case Management Data to learn more about your privacy rights and personal data usage.
- Third-Party Sites and Services: This Privacy Policy applies to personal data we collect from third parties about you, but we do not control the privacy and personal data handling practices of third parties. Therefore, this Privacy Policy does not apply to websites, apps, videos (embedded or direct links), or other content (each a “Linked Site”) to which we link that are not operated by RxLogix. Linked Sites have their own personal data collection and use practices, and we are not responsible those practices. We encourage you to read each Linked Site’s privacy disclosures to understand how your personal data is processed.
- Workforce Members and Candidates: Our processing of the personal data of current or former workforce members and job applicants is not governed by this policy.
- Non-Personal Information: Our processing of information that cannot be linked to an identifiable or identified individual, including non-identifying aggregate information. We may process this data for any legitimate business purpose.
3. Information We Collect and How We Collect It
The information we gather about you will vary and depend on our relationship with you. The following describes how we process personal data about you in various contexts.
- Information You Provide Directly to RxLogix
- Information You Submit Through Our Website: We collect personal data you submit or provide through the Website, including in connection with requests for demonstrations and information. This information typically includes business contact information like your name, title, employer, phone number, email address, and country. If you provide comments or feedback, we will collect that and connect it with your contact information.
- Account Information: When you register for an account to use our Platform, we collect and generate personal data associated with your account, including an account ID, user profile information, and information related to your role with the RxLogix Customer with whom you are associated. This information may include your name, business contact information, job title/role, and other details provided by you or the Customer related to your account and profile.
- Content Provided to the PV SaaS Platform: We collect and process content submitted to the PV SaaS Platform, including posts, comments, files, pictures, and other data you provide. Personal data contained within content transmitted to the PV SaaS Platform pursuant to a services agreement with a Customer will be processed by RxLogix pursuant to the instructions of the Customer (or the relevant controller of the personal data).
- Technical and Customer Support Content: Our Services include providing technical and support services to our Customers. If you submit content (including files, documents, screenshots, descriptions, communications, and other information) using our customer support or technical support channels, we will collect and process this information to provide those Services.
- Billing and Payment Information: We collect payment and billing information from our Customers. To the extent personal data is contained in payment and billing information we collect this information in order to bill for the Services and process payments.
- Information We Collect Automatically When You Use Our Services: We generate and gather information about you (and the devices and browsers you use) when you use our Services.
- Device Identifiers: Certain information about the devices you use to access our Website and Platform are automatically logged and associated with identifiers that may be unique to your device. The information includes IP address, operating and browser information, language preferences, referring/exit URLs, device identifiers, and other information. We use this information to optimize the display and presentation of our Website and Platform, to approximate your location, and to ensure the safety and security of our Website and Platform.
- Usage Data: We collect and log information about your usage of our Website and the Platform. This information includes the pages you visit, when you visit them, and how long you stay on them, the features you use, the buttons and links you click, the content you view, the type, size and filenames of attachments you upload, and information about your activities performed on the Website and Platform. Platform-related usage data is collected in order to provide our Services to our Customers and ensure the continued functionality, security, and efficacy of the Platform.
- Location Information: When you visit our Website, we can determine or infer your locations, including sometimes your precise geolocation. For example, we infer your general geolocation using your IP address. If you provide or allow us to access additional information related to your location, such as by inputting your address or allowing us to access the precise location of your device, we will collect this information as well. Precise geolocation is considered sensitive personal data in some jurisdictions.
- Cookies: RxLogix utilizes cookies on its website and PV products to ensure seamless functionality and enhance user experience. Some browsers include a “Do Not Track” setting that can send a signal to the websites you visit indicating you do not wish to be tracked. Our websites do not respond to browser Do Not Track signals. - Personal Information We Receive From Others: We receive information about you from other Service users, from third-party services, social media platforms, and public databases. We may combine this information with information we collect through other means described above.

For example, a user of our Platform may be referenced in a support services ticket. In addition, our Customers provide information about individuals who are authorized on their behalf to access and use the Services.
- Social Media Platforms: We also receive information from you when you interact with our social media pages, groups, accounts or posts. The categories of data we collect include individual users’ public profiles as well as aggregated data about followers on social media (e.g., age, gender and location). We keep track of users’ engagement with our social media pages and the efficacy of our marketing on those platforms.
- Integrated Services: If a Customer or RxLogix integrates third-party services, features, APIs, or other technologies that transmit data to us, we will collect any personal data associated with such transmission. For example, if a third-party user authorization tool is used to grant access to the Platform, the third-party may send the personal data related to the user’s identity.
- Other Third Parties: In addition to the aforementioned, the third parties from whom we gather personal data include internet service providers, operating systems and platform providers, data analytics providers, business partners, government entities, security services providers, our community experience partners, other individuals, social media platforms, and other visitors to our Websites.
4. How We Use Personal Information
We may use your personal data for a variety of reasons. Depending on how you interact with our Services, these include using personal data:

5. Legal Bases for Processing (for EEA Individuals)
If you are an individual in the European Economic Area (EEA), we collect and process information about you only where we have legal basis for doing so under applicable EU laws, and depending on the Services you use. We collect and use your information only where:
- We need it to provide our Customers the Services, provide customer support and personalized features and to protect the safety and security of the Services;
- It satisfies a legitimate interest (which is not overridden by your data protection interests), such as for research and development, to market and promote the Services and to protect our legal rights and interests;
- You give us specific, informed and unambiguous consent to do so for a specific purpose; or
- We need to process your data to comply with a legal obligation.

- Authorized Persons and Agents: Your personal data may be accessible to others users within the same organization with whom RxLogix has the contract for the provision of Services to the extent it is reasonably necessary to facilitate our purposes for processing.
- Business Services Providers: These are persons or entities with whom we have a relationship to provide business operations services and support to RxLogix. These providers acting as processors may include the following:
- IT Operations Providers: These include cloud computing service providers, internet service providers, data backup and security providers, functionality and infrastructure providers, and similar service providers.
- Operations Providers: These include service provider with whom we partner to provide day-to-day business operations, including payment processors, security vendors, business software service providers, banks, facilities management providers and similar entities.
- Professional Service Providers: These include lawyers, accountants, consultants, security professionals, and other similar parties when disclosure is reasonably necessary to comply with our legal and contractual obligations, prevent or respond to fraud or abuse, defend ourselves against attacks, or protect the rights, property, and safety of us, our customers, and the public.
- Marketing and Advertising Providers (Only for personal data collected through Website): These include advertising, direct marketing, and lead generation providers, marketing consultants, and similar services providers.

- RxLogix website: RxLogix operates globally. When we transfer personal data, we take sets to protect it, including implementing standard contractual clauses where recognized by law, obtaining your consent, or other lawful means of transferring personal data. - PV Saas Platform: For our PV SaaS applications, any international transfer, storage, or processing of personal data is conducted strictly in accordance with contractual obligations agreed upon with our customers. These transfers occur only as necessary to fulfill the terms of the agreement with the customers and are supported by appropriate technical and organizational safeguards. No data is transferred without a contractual basis or consent from customer that explicitly permits and governs such transfers.
